How do you manage out of office replies in cold email?

An out of office is a lead, not a bounce
At any real volume, a slice of every send comes back as an out of office. Most people treat those as noise and delete them. That is money on the floor. The person is not gone, they are on a beach for a week. They never saw your email. Come back when they are at their desk and you get a clean shot at a lead who has never seen you before.
The catch is timing and volume. Nobody wants to hand-sort auto-replies, read every return date and set reminders to come back on the right Tuesday. So it does not get done, and warm-ish leads quietly slip through. This flow does the sorting for you.
Catch them, then get them out of the way
First, the Master Inbox catches every OOO across every mailbox, so none of them hide. Claude labels them Out of office, which does two jobs at once. It clears the auto-replies out of your real reply queue so you are not wading through them, and because reply management runs on labels, that tag keeps them grouped and ready to work as a batch.
Then it reads them. Most auto-replies tell you the return date, and a good few hand you a colleague to contact in the meantime. Claude pulls both out: a shortlist of who is back and when, and a separate flag for any colleague worth chasing now. What was a pile of noise becomes a short, dated to-do list.
Re-enrol on your terms
Now the useful part. For the leads back next week, Claude re-adds them to a campaign so your email is waiting near the top when they log in, not buried under a week of catch-up. You decide which one: back into the campaign they came from, held for their return date, or into a different campaign that fits them better now. It skips anyone already live in another campaign by default, so nobody gets doubled up.
That is the whole idea. An OOO stops being a dead end and becomes a scheduled second attempt, timed to the day the person is actually reading their email. Pair it with triage and the auto-replies get sorted the moment they arrive, so this runs as a quick weekly sweep rather than a chore.

Frequently asked
Should I just ignore out of office replies?
Better not to. An OOO is a "try me later", not a no. The person is a real lead who happened to be away when your email arrived. Catch the return date, come back when they are at their desk, and you reach them with a clear inbox instead of a week of backlog on top of you.
How does Claude know when they are back?
Most auto-replies say. It reads the message, pulls out the return date, and sorts the returning leads by when they are back. For the ones that name a colleague to contact instead, it flags those separately so you can chase the person they pointed you to.
Can I re-enrol them into a different campaign?
Yes. You are not stuck with the original. Add them back to the same campaign, hold them for a date, or drop them into a different one that fits better now. It is your call each time, and you can tell Claude exactly which campaign and when.
Will re-adding a lead double up their emails?
Not by default. When Claude re-enrols a lead it skips anyone already sitting in another live campaign, so nobody gets two of your emails at once. You choose whether to allow overlap, and the safe option is on unless you say otherwise.
Do I need to write code?
No. The whole flow runs in plain language over the MCP server. The label and enrolment actions are in the REST API too if you want to automate the OOO handling in your own stack.
