Gmail can send mass email, up to a point. It’ll do a mail merge to a few dozen or a few hundred people happily enough. Push past that and you hit two walls fast: Google’s daily sending limits, and the damage a big blast does to your domain reputation. This guide covers how to do it properly, where Gmail stops being the right tool, and what to use instead.

The short version

  • Gmail counts every address in To, CC and BCC separately, and the limit is a rolling 24 hours.

  • BCC blasts are the wrong way to do mass email: no personalisation, and a fast route to the spam folder.
  • For real cold outreach volume, you want multiple warmed-up inboxes with sending spread across them, not one Gmail account working overtime.

Gmail’s sending limits, plainly

Before you send anything, know the ceiling:

  • Free Gmail (@gmail.com): around 500 recipients per day.
  • Google Workspace (paid): 2,000 messages per day, with a cap of 2,000 external recipients.
  • Workspace trial accounts: 500 per day until the account is established.

Two details catch people out. First, Gmail counts recipients, not messages: one email to 50 people burns 50 of your daily allowance. Second, the limit is a rolling 24-hour window, not a midnight reset, and if you hit it, Google locks sending for up to 24 hours.

Option 1: Gmail’s native multi-send (for small merges)

If you’re on Google Workspace and sending to a modest list, Gmail has a built-in mail-merge mode:

  1. Open Gmail on the web and click Compose.
  2. Turn on multi-send using the toggle in the toolbar (the icon looks like a person with a plus).
  3. Add your recipients, and use merge tags like @firstname to personalise each copy.
  4. Every recipient gets their own separate email with an unsubscribe link added automatically.

Multi-send is capped lower than the standard limit (around 1,500 recipients a day) and it’s genuinely fine for a newsletter to your own contacts or a light announcement. It is not built for cold outreach: no follow-ups, no sending across multiple inboxes, and no warmup behind it.

Option 2: a mail-merge add-on

Plenty of add-ons bolt mail merge onto Gmail using a spreadsheet of contacts. They personalise better than multi-send and some add basic follow-ups. But they still send everything through your one Gmail account, so you’re still bound by Gmail’s daily limit and still concentrating all the sending on a single address. Fine for tens or low hundreds. It doesn’t scale to serious outbound.

Why Gmail alone breaks down for cold email

Here’s the honest limit. Cold outreach at volume needs three things Gmail on its own can’t give you:

  1. Volume across many inboxes, not one. Sending thousands a day from a single address is the fastest way to torch its reputation. Real cold email spreads a sensible daily volume across many mailboxes.
  2. Warmup. New or lightly-used inboxes need to build a sending reputation gradually before they carry cold volume. Gmail has no concept of this.
  3. Follow-ups and reply handling. A campaign is a first email plus follow-ups, and then a pile of replies to manage. Doing that by hand across many inboxes is a full-time job.

How many emails can I send from Gmail per day? Free Gmail allows around 500 recipients a day. Google Workspace lifts that to 2,000 messages a day, with a cap of 2,000 external recipients. Trial Workspace accounts are limited to 500 until established.

Does Gmail have a mass email feature? Yes. Google Workspace includes a native multi-send (mail merge) mode in the Gmail web app, capped at around 1,500 recipients a day. It’s fine for small campaigns to your own contacts but has no follow-ups, warmup or inbox rotation, so it isn’t built for cold outreach.

Can I send bulk cold email from one Gmail account? You can send a little, but you shouldn’t send a lot. Concentrating high volume on a single mailbox, especially cold, damages its reputation quickly. Serious outbound spreads a modest daily volume across many warmed-up inboxes instead.

Is BCC a good way to send mass email? No. BCC gives everyone the same unpersonalised email, offers no unsubscribe handling, and is a classic spam signal. Use a proper mail merge or dedicated cold email software instead.
